About the Job:

This full-time role is one of the main driving forces behind our company’s success, ensuring our clients’ satisfaction and completion of projects on time and within budget. This is a field/office position and includes formulating overall project vision and strategy, managing and coordinating project teams, as well as understanding what resources are needed to perform all tasks necessary to complete each project. As an Assistant Project Manager, you will be involved in all phases of construction and estimating using processes and protocols that adhere to our company’s standards and expectations. The Assistant Project Manager reports to the Project Manager/Senior Project Manager and Senior Management, works as a supporting role for the office and field teams and keeps the company's executive team informed throughout the project lifecycle.

Responsibilities:

  • Support the coordination, organization, and management of estimation, client communications, project scheduling, implementation, and close-out procedures.

  • Contributes to and participates in initial and on-going project planning meetings, creates the project’s scope of work and specifications, and prepares the project’s initial budget, timeline, and construction schedule.

  • Track and report on project progress using a shared project portfolio portal

  • Establish client deadlines using a decision matrix as determined by the scope of work and to ensure client satisfaction with timeliness, accuracy, and communication.

  • Schedule, coordinate and manage weekly meetings for project teams to include Superintendents, Project Managers, Clients, Architects, Designers and Senior Management.

  • Communicate with senior management to provide regularly scheduled updates on the status of projects, address concerns, and plan specific actions as needed to ensure the on-time and on-budget completion of the projects.

  • Prepare and distribute bid packages, reviews, and evaluates bids and proposals from suppliers, vendors, and subcontractors, develops, negotiates, and approves contracts for selected contractors, subcontractors, and other service providers needed to complete the project work. Compiles and distributes sales presentations for stakeholder/client meetings.

  • Reviews recommended change orders or amendments to the specifications, blueprints, and plans when appropriate, and ensure related documents and budgets are amended as needed to reflect changes to the project specifications.

  • Understand Company’s safety standards and applicable codes and other legal and regulatory requirements by staying informed about relevant codes and ordinances and permit requirements, and by preparing and/or submitting required documentation and other information to appropriate agencies.

  • Communicate effectively with the project team regarding the status of projects, advising if any issues arise on the job site to all parties such as owner, architect, crew, government agencies, inspectors, etc.

  • Manages Project Coordinator(s)and coordinates with Site Superintendents to ensure all documents, progress and completion photos and cost trackers are timely and accurate.Formulates progress, costs, and schedule reporting.

  • Conduct periodic project site visits to evaluate progress and support project-assigned team members to address and resolve issues and problems. Recommend modifications to the project plans, schedule, staffing, or budget as needed.

  • Follow a comprehensive quality control plan throughout the life of the project to ensure the project is on time and that all parties are satisfied with the final product. Attend final walk-throughs with clients, develop and manage a punch list and work with the superintendent to schedule and monitor completion of all remaining items and to ensure complete customer satisfaction.

  • Schedule and lead weekly project team and client meetings, schedule reviews, and other necessary meetings required to effectively complete the project.

  • Establish processes and monitor progress with the Superintendent to ensure timely closeout of project including but not limited to Owner/Architect punch list, schedule and monitor final walk-through with a client.

Additional Requirements

Individual must be able to perform job duties safely and productively for a minimum of 8 hours per day. All safety rules and regulations; including the use and wearing of all required personal protective equipment and clothing, and safe lifting techniques, must be followed.

Role Qualifications:

  • 3 years of experience in project management of high-end residential construction projects.

  • Minimum 3 years of supervisory experience collaborating with a project team and subcontractors

  • Excellent communication, collaboration, teamwork and strategic thinking skills.

  • Can manage multiple priorities simultaneously, is highly organized, and is effective in long-term planning and execution.

  • Proactive thinking, keen attention to detail, and deadline/goal-oriented.

  • Experience with reading blueprints and experience with project management software. Must be comfortable learning and using technology including the ability to adapt to and master company-specific software.

  • Bachelor's degree in business or construction management preferred but not required.
